RWDI is seeking a Project Administrator to join our Project Delivery team in the Kuala Lumpur Office. This is an entry-level role focused on data entry and maintenance of client and project databases, supporting local and overseas team members. The position offers exposure to a variety of project administration duties that will keep you busy and will continuously provide you with challenges.

We seek an organised and enthusiastic person to join our team. You will help support a team of Project Managers, Coordinators, and Administrators by supporting the administration of enquiries and keeping our client database and project financial and operations systems up to date. Growth in the role will provide opportunities to assist with the preparation of proposals, analysing financial data and ensuring that client follow up takes place.
The successful applicant is likely to be a confident, self-motivated individual who can work well in a team. Communications skills will also be important both within the team and with external clients.
The role includes but is not limited to:
Administration Duties
- Perform a variety of project administration duties, including project scheduling, project tracking, project invoicing, and project financial reports.
- Maintains the project/resource schedule in company approved software.
- Conduct data entry for projects, opportunities, and business activities in company database systems.
Project Delivery Support
- Assists the Project Managers in defining the project plan, activities, milestones, and resource requirements.
- Tracks scope changes and approved change orders and communicates them to the Project Managers as required.
- Provides administrative support to the Project Managers and project technical team as required.
- Supports the project closeout process, project archiving, and marketing information.
- Support the Project Delivery team on an ad-hoc basis as and when required on project, opportunities, and business development activities.
Development in the role will lead to opportunities to:
- Assisting with the preparation of tender documents
- Ensuring that Quality Assurances are completed, recorded, and meet company standards and project scope.
- Format and proofread memoranda, reports, letters, etc. using word processing and spreadsheet applications.
- Initiates and approves project invoicing according to contract terms.
- Prepares and provides clients status reports of project milestones and adjustments to schedules.
- Actively involved in recovering receivables
- Meet and exceed client expectations and project milestones.
